Job Description:
We are seeking a highly motivated and organised Accounts/ PA to support our clients daily operations. The ideal candidate will be responsible for managing emails, payroll, accounts, purchasing, and general administrative tasks.
This role requires a proactive individual with excellent communication skills and a customer-focused attitude.
This will be office based initially but hybrid can be offered once candidate has settled in
They are property development business, so experience in property or construction would be helpful
Also they will look at hybrid once the person has settled in
Responsibilities:
Emails (30 minutes daily, depending on volume):
Check, respond, file, and clear inboxes.
Set up meetings with clients and networking contacts.
Liaise with clients over non-urgent issues.Payroll (30 minutes daily):
Add invoices from subcontractors to the weekly payroll spreadsheet and file them.
Submit employee hours to accountants.
Set up bills on Xero.
Track holidays taken by employees.Accounts / Bookkeeping (30 minutes daily):
Log labour and material costs to each job on the relevant spreadsheet, tracking via receipts/invoices received.
Keep job overview spreadsheets up to date, including spends and income.
Add receipts to Dext.Leads / Job Opportunities (15 minutes daily on average):
Use Searchland (if renewed) to send out letters to potential clients/architects.
Check MyBuilder for jobs of interest and express interest.
Reply to FMB job leads as soon as they come in.
Reply to customer enquiries and schedule site visits.Purchasing (30-60 minutes daily):
Set up trade accounts.
Build a familiar relationship with main suppliers.
Send material quotes to multiple suppliers to find the best prices.
Order materials, allowing time for multiple quotes.
Order skips for jobs.
Monitor balances for trade accounts.General (1 hour daily on average):
Write up simple contracts for jobs.
Improve systems.
Construct RAMS as necessary.
Handle basic dealings with clients.
Provide a list of tasks rated urgent to ASAP.
Manage employee contracts.
Tidy the Drive.
Form company letters and emails.Bonus – Property (15-60 minutes):
Keep an eye out for potential opportunities via emails and Searchland.
Send out letters on Searchland (if renewed).Character:

Days: 3 per week
Hours: 3-4 hours per day
Training: 10-20 hours depending on previous experience
12- 15 hours a week ( flexible on days) £15- £16 an hour
Salary: £15 – £16/hour 3-4 hours a day, 3- 4 days a week
