Business Support Officers (BSO) – Special Educational Needs Service

We are seeking two dedicated Business Support Officers to join our Special Educational Needs (SEND) Service, providing essential business support to ensure the effective operation of our SEND department. These roles involve working closely with SEND caseworkers and supporting various functions in line with statutory duties under the Children and Families Act (2014) and the SEND Code of Practice (2015).
1x BSO – SEND General Support (BR6)
Role Overview: The Business Support Officer will provide administrative support to the SEND department, assisting with routine tasks and specific SEND projects. The role involves working with the CapitaOne database system and liaising with multiple stakeholders, including families, schools, and professionals.
Key Responsibilities:
* Provide general clerical, administrative, and IT support, including system administration.
* Process invoices and payments accurately and timely.
* Serve as the first point of contact for incoming calls and emails, responding to queries or directing them to the appropriate team members.
* Manage and process new requests for Education, Health, and Care Needs Assessments (EHCNA), ensuring accurate and timely updates to IT systems and communication with families.
* Coordinate with young people, families, schools, and professionals throughout the assessment process, monitoring receipt of required reports and tracking the process in line with statutory timelines.
* Support decision-making panels by preparing agendas, collating relevant documents, recording decisions, and communicating outcomes.
* Ensure robust document management of statutory processes, including EHC Plans, Annual Reviews, and consultations, adhering to GDPR standards.
* Organize and monitor translation and interpretation services, including raising purchase orders and processing payments.
* Manage responses to Freedom of Information requests promptly.
* Undertake any other duties as required to support the efficient functioning of the department.
Essential Requirements:
* Experience with the CapitaOne database system and working within a local authority SEN team.
* Strong organizational skills with the ability to handle a high volume of queries.
* Excellent communication skills with a customer-focused approach.
2x BSO – Tribunals and Mediation (BR6)
Role Overview: The Business Support Officer for the SEND Tribunals and Mediation service will provide vital support to the Tribunals department, assisting with administrative tasks and liaising with stakeholders throughout the mediation and tribunal processes.
Key Responsibilities:
* Provide clerical, administrative, and IT support to the Tribunals and Mediation Service, addressing business support issues, including Tribunal and Mediation queries.
* Manage incoming communications from the SEND Tribunal, parents, and representatives, providing guidance on mediation processes, appeals, and statutory timelines.
* Liaise with young people, families, schools, and professionals during the mediation or tribunal process, ensuring evidence is submitted and tracked correctly.
* Support the Tribunal Moderating Group by preparing agendas, managing documents, recording decisions, and communicating outcomes through local authority IT systems.
* Manage statutory tribunal appeals, including electronic bundle preparation and evidence management, ensuring compliance with GDPR.
* Collaborate with SEN Finance to update on costs and outcomes of tribunals and mediation.
* Organize diary management for appeals and mediations and coordinate data for Freedom of Information requests and SEND Governance Board.
* Undertake any other duties as necessary to support the department’s efficient and effective operation.
Essential Requirements:
* Experience with the CapitaOne database system and working within a local authority SEN team.
* Proficiency in document management and strong attention to detail.
* Excellent organizational and communication skills.
